There are 2 basic lengths of courses at CHS: semester and full year. Semester 1 courses end at the end of quarter 2 and require both quarter and final grades during quarter 2, but only quarter grades during quarter 1. Semester 2 AND full year courses end quarter 4 and require both quarter and final grades during quarter 4, but only quarter grades during quarter 1 (if full year) and quarters 3 if either full year or semester 2.<\/p>\n\n\n\n

These are instructions for Entering Quarter Grades in Aspen for COURSES NOT<\/em><\/strong> ENDING DURING THE QUARTER FOR WHICH YOU ARE PROVIDING GRADES. There are similar but different instructions for Entering Quarter Grades in Aspen for Courses that ARE ending<\/a> during the quarter for which you are providing grades.<\/p>\n\n\n\n

The average in your gradebook does NOT appear on report cards or transcripts. You must update your post columns and then post your grades\/comments to send information to report cards and transcripts. Scores in post columns may be manually adjusted if necessary before posting. Whatever is in your POSTING COLUMNS when you post your grades goes to report cards and transcripts. <\/p>\n\n\n\n

STEP 1. Go to Staff view. Click the <\/span>Gradebook<\/span><\/i> tab to open your course list. Select a course by checking the box and clicking the<\/span> Scores <\/span><\/i>side tab to open the grade-posting screen shown below <\/span>(If the posting window is open, the pushpins will be green).<\/span><\/i><\/p>\n\n\n\n

STEP 2. Select <\/span>Post Columns \u2013 Term<\/span> from the <\/span>Grade Columns<\/span> pick list and select <\/span>quarter<\/span> from the <\/span>Term<\/span> pick list.<\/span><\/p>\n\n\n\n

STEP 3. Update the <\/span>QT<\/span><\/i> grade column with QT averages from your gradebook by doing the following:<\/span><\/p>\n\n\n\n

A. Click on the <\/span>Update Post Columns <\/span><\/i>button.<\/span><\/p>\n\n\n\n

B. When the <\/span>Update Post Columns<\/span><\/i> wizard opens, set <\/span>Grade Term<\/span><\/i> to correct <\/span>QT<\/span><\/i>, and <\/span>Grades to update<\/span><\/i> to <\/span>Term Grades for all students<\/span><\/i>. Click <\/span>Next<\/span><\/i> at the bottom of the window.<\/span><\/p>\n\n\n\n

Set <\/span>Grade Term t<\/span><\/i>o appropriate <\/span>QT number. <\/span><\/i><\/p>\n\n\n\n

Select <\/span>Average: QT<\/span><\/i> from the <\/span>QT Grade<\/span><\/i> drop-down list. (Note: Double-check to be sure that <\/span>Average: appropriate QT<\/span><\/i> is selected, not a single category or assignment column). Click <\/span>Next<\/span><\/i> at the bottom of the window.<\/span><\/p>\n\n\n\n

Double-check the <\/span>Confirmation<\/span><\/i> window to ensure that you are updating the correct Quarter Grade column with the <\/span>Average: QT<\/span><\/i> grades from your gradebook. Click <\/span>Finish<\/span><\/i> at the bottom of the window.<\/span><\/p>\n\n\n\n

STEP 4. When the import is complete your <\/span>Scores<\/span><\/i> view will look like this, with current averages for each student in the <\/span>QT<\/span><\/i> column with the pushpin:<\/span><\/p>\n\n\n\n

IMPORTANT: Please remember that you must use the Update Post Columns<\/em> procedure to enter QT grades in the QT<\/em> grade post column with the pushpin. If there are no grades in your QT<\/em> pushpin grade post column, no grades will post to the student transcripts. The column of black quarter averages that are visible in the QT column without a pushpin are for display only and will not post.<\/em><\/strong><\/p>\n\n\n\n

STEP 5. For students who entered late and who didn\u2019t have sufficient opportunity to master the course material, replace the system-calculated grades with the grade symbol <\/span>NG<\/span><\/i> (No Grade). <\/span>Students with NG grades should also be given <\/span>Comment 400 – Newly enrolled in class – no grade given.<\/span><\/i><\/p>\n\n\n\n

STEP 6. If necessary, adjust any calculated grades by double-clicking in the cell and entering your adjusted numeric grade. Then enter your comments in the <\/span>RC1<\/span><\/i>, <\/span>RC2<\/span><\/i>, and <\/span>RC3<\/span><\/i> columns.<\/span> (Remember, you can open the CHS comment code list any time by clicking in a comment <\/span><\/i>column cell and typing <\/span><\/i>CTL+L<\/span>).<\/span><\/i><\/p>\n\n\n\n

Comment codes are available in Aspen and a list of them are attached at the end of this knowledge base article under “Article Attachments.” You can simply enter the code for the comment you want, or you can press CTRL + L to select a comment from a pick list of comments.<\/p>\n\n\n\n

STEP 7. Once everything is entered, you <\/span>Post<\/span><\/i> your grades. Posting moves your grades and comments from the <\/span>Scores<\/span><\/i> view of your gradebook to student transcript records in Aspen. Begin by clicking the <\/span>Post Grades<\/span><\/i> button: <\/span><\/p>\n\n\n\n

When the <\/span>Post Grades<\/span><\/i> window opens, check that the <\/span>Class<\/span><\/i> name and <\/span>Grade Term<\/span><\/i> are correct, and that <\/span>Grades to Post<\/span><\/i> is set to <\/span>Term grades for all students<\/span><\/i>. Click the <\/span>OK<\/span><\/i> button <\/span>to post your grades. After you post, the pushpins in the <\/span>Scores<\/span><\/i> window will turn red.<\/span><\/p>\n\n\n\n

STEP 8. (Optional) If you change grades or comments for a class, you must repost the gradebook. The window below will pop up when you choose <\/span>Post Grades<\/span><\/i> from the <\/span>Options<\/span><\/i> menu<\/span>.<\/span><\/i>
